Most teams spend way too long setting up their scheduling tool. They get stuck configuring availability windows, hunting for the right setting, or trying to figure out how to connect multiple team members to a single booking page.
This guide cuts through all of that. You'll have a fully functioning round-robin team schedule — where incoming meetings are distributed evenly across your team — in under 5 minutes. We'll use Schedulee, which is built specifically to make team scheduling fast.
TL;DR: Set up round-robin team scheduling in under 5 minutes with Schedulee. Create a workspace, invite members, connect calendars, configure round-robin, set availability, and share links. Or skip all that — use the built-in AI assistant to do it in 30 seconds.
The AI Shortcut: Set Up by Just Talking
Before walking through the manual steps, there's a faster path.
Schedulee has a built-in AI assistant that handles most of the setup through plain conversation. Instead of clicking through menus, you tell it what you want:
Adding team members:
"Add john@company.com to my team as an admin"
"Invite sarah@company.com as a member"
Creating meeting types:
"Create a 30-minute round-robin meeting called 'Sales Demo' for my sales team"
"Set up a 15-minute discovery call with a 10-minute buffer after"
Setting availability:
"Set my team's availability to 9 AM–5 PM Monday through Friday, Pacific time"
"Block off every Tuesday afternoon for internal meetings"
Managing bookings:
"Show me this week's bookings"
"Who got the most bookings last month?"
"Cancel all meetings next Monday"
The AI confirms before making changes — so you won't accidentally nuke your schedule — and it understands natural language, not command syntax. Works on desktop and mobile, so you can set up your whole team from your phone.
No other scheduling tool has this. Calendly, Cal.com, and SavvyCal all require you to navigate menus for every change. For many setups, the AI is just faster. The rest of this guide covers the manual path if you prefer it.
What Will You Build in This Tutorial?
By the end, you'll have:
- Individual booking links for each team member (e.g.,
schedulee.com/yourteam/alice) - A round-robin team link that routes new bookings to whoever is next in rotation
- A collective availability link for group meetings (everyone must be free)
- Team-wide availability settings that respect each person's calendar
This is the setup most sales teams, customer success teams, and consulting firms need.
Prerequisites
- A Schedulee account (free, takes 30 seconds)
- Your team members' email addresses
- Google Calendar or Outlook accounts to connect (optional but recommended)
Step 1: Create Your Team Workspace (60 seconds)
After signing in, you'll land on the dashboard. Here's what to do:
- Click "Teams" in the left sidebar
- Click "Create Team"
- Give your team a name (e.g., "Sales Team" or "Support")
- Set a team URL slug — this becomes the prefix for all team booking links
Pro tip: Use a short, professional slug. acme-sales beats acme-company-sales-team-2026.
Your team workspace is live. Next, add your people.
Step 2: Invite Team Members (60 seconds)
From your team settings:
- Click "Members"
- Click "Invite Member"
- Enter their email address
- They'll get an invite link — they just need to sign up or log in
Repeat for each team member. On the Business plan ($69/month flat, not per-seat), you can add up to 20 members without touching the bill.
While they're accepting invites, move on to Step 3.
Step 3: Connect Your Calendars (60 seconds)
This is the step most people skip — and then wonder why double-bookings happen. Connect calendars so Schedulee checks real-time availability.
For each team member (or for yourself while you wait for others):
- Go to Settings → Calendar Sync
- Click "Connect Google Calendar" or "Connect Outlook"
- Authorize access
Schedulee reads your existing calendar events and blocks those times from being booked. New bookings get written to your calendar automatically.
Important: Make sure each person connects their work calendar, not a personal one.
Step 4: Set Up Round-Robin Scheduling (90 seconds)
This is the good part — where incoming meetings get automatically distributed across your team.
- From your team workspace, click "Event Types"
- Click "New Event Type"
- Select "Round Robin" as the scheduling type
- Name it (e.g., "15-Min Sales Call" or "Demo Request")
- Set the duration (15, 30, or 60 minutes)
Configure the Round-Robin Logic
Under "Rotation Settings", you'll see two options:
Availability-based (recommended): The next available team member gets the booking. If Alice has a meeting at 2 PM and Bob is free, Bob gets it.
Strict rotation: Meetings cycle through team members in order (Alice, Bob, Charlie, Alice, Bob...), regardless of bandwidth. Good for teams that care about strict fairness.
For most teams, availability-based works better — it fills calendar gaps naturally.
Add Team Members to the Rotation
- Under "Team Members", add everyone who should receive bookings from this event type
- You can set individual weights — if you want Sarah to get 2x the bookings as everyone else, set her weight to 2
That's it. Your round-robin event type is live.
Step 5: Set Availability Windows (30 seconds)
Don't want clients booking at 7 AM? Set team-wide availability:
- Go to Team Settings → Availability
- Set your default available hours (e.g., Mon–Fri, 9 AM–5 PM)
- Set your timezone
Individual team members can override this with their own schedule under Settings → My Availability, but the team default gives you a sensible baseline.
Buffer times: While you're here, add a 15-minute buffer between meetings. Under Event Type Settings → Buffers, set "Before" and/or "After" buffers. This prevents back-to-back scheduling that leaves no time for prep. Buffer times are one of the simplest ways to fight meeting fatigue on your team.
Step 6: Share Your Booking Links (30 seconds)
Your links are live. Here's what you now have:
- Individual links:
schedulee.com/[username]— each team member has their own booking page - Team round-robin:
schedulee.com/[team-slug]/[event-type-slug]— share this everywhere
Where to put these links:
- Email signatures: "Book a 30-min call: schedulee.com/yourteam/demo"
- LinkedIn profiles: Replace your Calendly link
- Website contact page: Embed the booking widget (Settings → Embed)
- Proposals and decks: Add a booking link to your next slide
What Is Collective Scheduling and When Should You Use It?
Collective scheduling is different from round-robin — instead of routing to one person, it finds a time when everyone is available.
Use case: Sales calls where both the AE and a solutions engineer need to attend.
To set this up:
- Create a new Event Type
- Select "Collective" as the type
- Add the required team members
- Schedulee will only show time slots when all selected members are free
Most teams discover this after they've been using round-robin for a while. We've written a detailed guide on when to use collective vs. round-robin scheduling to help you decide. It kills the painful "let me check with my colleague" back-and-forth.
How Do Date Overrides and Out-of-Office Work?
Date overrides let you change availability for specific days. Going on vacation March 15–20? Block those dates without touching your regular schedule.
From Settings → My Availability, click "Add Date Override", select the dates, and mark them as unavailable (or set custom hours for that week).
Out-of-office delegation (coming to Schedulee) will automatically route bookings to a teammate when you're away.
Troubleshooting Common Issues
"No available times showing"
- Check that calendar sync is connected and authorized
- Verify your availability window includes the times you expect
- Make sure the team member's calendar isn't fully blocked
"Bookings not showing in my calendar"
- Go to Settings → Calendar Sync and check write permissions
- Make sure you authorized calendar write access, not just read
"Team member not appearing in round-robin"
- Confirm they've accepted their team invite
- Check that they're added to that specific event type's rotation
What Have You Built?
In 5 minutes (give or take), you've set up:
✅ Individual booking pages for each team member
✅ Round-robin distribution for incoming meetings
✅ Calendar integration preventing double-bookings
✅ Professional booking links ready to share
The average sales team using manual scheduling (back-and-forth emails, Doodle polls) wastes 30–45 minutes per meeting scheduled. With round-robin, that drops to near zero for the team members involved — the booking just appears on their calendar.
For a 10-person team scheduling 5 meetings each per week, that's 25+ hours saved weekly.
Next Steps
Now that your team scheduling is live:
- Add custom branding — Upload your logo and set brand colors so booking pages look like yours
- Set up automated reminders — Under Event Type Settings, turn on email reminders 24 hours and 1 hour before each meeting
- Embed on your website — Use the embed snippet to drop a booking widget on your contact or pricing page
- Review analytics — After a week, check the analytics dashboard to see which time slots get booked most and adjust your availability
- Install the mobile app — Schedulee is a PWA (Progressive Web App). On iPhone, tap Share → "Add to Home Screen". On Android, tap the browser menu → "Install app". You get a full-screen app that works offline — manage bookings, update availability, and use the AI assistant from anywhere. Calendly and Cal.com are desktop-first; their mobile experience is an afterthought.

Frequently Asked Questions
How long does it take to set up team scheduling?
About 5 minutes if you click through the steps manually. If you use the AI assistant, most of the setup takes 30 seconds — just tell it what you want in plain English.
What is round-robin scheduling?
It automatically spreads incoming bookings across your team. Someone books a meeting, and the next available person gets assigned. No manual coordination, fair distribution.
What is the difference between round-robin and collective scheduling?
Round-robin sends each booking to one team member. Collective scheduling finds times when all selected members are free — useful for meetings where the whole group needs to be there, like a sales demo with an AE and a solutions engineer.
How do I prevent double bookings?
Connect your Google Calendar or Outlook in Settings → Calendar Sync. Schedulee reads your existing events and blocks those times, so nobody gets double-booked.
Can I set different availability for different team members?
Yes. Set a team-wide default (e.g., Mon–Fri 9 AM–5 PM), and individual members can override it with their own hours under Settings → My Availability.
